Privacy Policy

What we collect

• Account data: name, email, company name.
• Subcontractor data you provide: business name, contact name, email, ABN, trade.
• Compliance documents: insurance certificates, licences, and other files uploaded by you or your subcontractors.
• Usage data: log data, IP address, browser type, and basic analytics needed to operate the service.

How we use it

• Provide the Service: store documents, generate reminders, render dashboards.
• Send transactional emails (account, reminders, portal links).
• Improve security, prevent abuse, and meet legal obligations.

We do not sell your data and we do not use it for advertising.

Who we share it with

• Infrastructure providers: our hosting and database provider stores data on our behalf under a data processing agreement.
• Email provider: used to send transactional emails on our behalf.
• Legal: if required by law or to protect rights and safety.

Where data is stored

Data is hosted on managed cloud infrastructure with encryption in transit (HTTPS/TLS) and at rest. Document files are stored in a private bucket accessible only via short-lived signed URLs.

Retention

We retain your data while your account is active. On account deletion we remove your data within 30 days, except where retention is required by law.

Your rights

Under the Privacy Act 1988 (Cth) you may request access to, correction of, or deletion of your personal information. You can do this from Settings or by emailing admin@subbiesafe.com.au. If you are not satisfied with our response you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

Subcontractors

If you are a subcontractor uploading documents via a portal link, the builder who invited you is the controller of that data. Contact them for access/deletion requests first; we will assist where required.

Cookies

We use only essential cookies needed for authentication and session management. No third-party advertising or tracking cookies.
